Description

The Space Telescope Science Institute (STScI) is a multi-mission science and flight operations center for NASA’s flagship observatories. STScI is seeking a Processing Archivist to assist with the capturing and curating of records of enduring value that highlight the historic milestones and achievements of the institute and its missions.

Responsibilities include:

Accepts, arranges, describes, and preserves digital and analog collections in accordance with standard archival methodologies.

Routinely reviews and updates previously created metadata, manually or in batches, to meet internal description standards; expands custom creator and affiliation authorities to meet descriptive needs of archive material.

Inputs new metadata, manually or using batch upload.

Participates in meetings with branches and other archives to understand assets and state-of-art practices.

Together with Digital Archivist and Senior Archivist, collaborates with divisions and offices across the institute to create, document, and assess content delivery workflows that meet the archival needs of each office.

Identifies gaps in major records series and works with institute staff to capture missing records.

Selects and accessions born-digital documents, images, videos, and other formats within collecting scope of archive.

Re-processes and inventories existing analog files for digitization and enhanced discovery, both in-house and through digitization contracts.

Performs quality checks on ingested assets.

Reviews and provides feedback annually on disaster plan including response and recovery procedures and policies.

Together with experienced archivists, maintains milestones calendar, Slack marketing channel and shared Institutional Archive email account.

Assists with web archiving project.

Demonstrates dedication to advancing diversity, equity, and inclusion as well as STScI's scientific and cultural history through archival practice.

May co-teach institute-wide CMS training sessions.

Participates in monthly science staff meetings, internal efforts related to Diversity, Equity, and Inclusion, and mandatory HR and IT training.

Follows developments and future archives trends in peer institutions and universities; engages in training, conferences, and self-development.

Participates in at least two introductory to intermediate project management courses per year under direction of Branch Manager – STScI Library & Institutional Archive.

Maintains membership in SAA (Society of American Archivists) or similar professional organization with departmental approval.

Works independently under the general direction of the Senior Archivist. This is a non-supervisory role, but this position will assist with on-boarding and provide basic training to part-time archives interns.

Qualifications:

Technical Skills

Experience assessing, arranging, and describing collections for a small to medium-sized organization for preservation.

Technical skills applicable to working in a modern office environment, including knowledge of the Internet, word processing, database management, and spreadsheets.

Knowledge of standards for archival description and preservation including DACS, EAD, EAC-CPF, etc.

Practical experience using archival software is preferred.

Abilities

Ability to work with a diverse group of technical, scientific, and non-technical personnel within the institute and to communicate effectively outside the Institute, including with other scientific or cultural institutions.

Demonstrated ability to adapt to changing tools and methodologies in information delivery, and evolving requirements of the institutional archive and its staff.

Ability to work efficiently without direct supervision; strong time management skills, and strong organizational skills.

Accuracy when inputting data.

Education & Experience An ALA accredited Master’s degree in Library Science/Information Science with a concentration in Archives or equivalent is required. At least one year of related experience in an archive or similar information services setting.
